Reviewing project hours as a team, weekly
A project overview is most useful when it leads to a decision. Reserve a short, fixed slot to close the week together.
1. Create one shared baseline
Agree on a point in time by which the week is recorded. Clarify project names and internal tasks in advance. Incomplete entries should be treated visibly as open work rather than estimating the missing hours.
2. Compare effort with the plan
Compare the recorded hours with the planned effort, inside or alongside your existing planning workflow. Ask for causes when numbers deviate: changed scope, extra coordination or an estimate that was too tight. Individual hour values do not explain these causes by themselves.
3. Record one next action
Decide whether to inform the client, adjust an estimate or redistribute tasks. Keep one owner and one date. Check in the following week whether the decision was carried out.
